Job Description

The Database Specialist is a mid level position that works closely with Columbia Riverkeeper’s Advancement Director, Development Manager, staff, and contractors to advance the organization’s mission and values.

Skills & Qualifications

Required Qualifications and Experience:
Required:
● 3+ years of experience managing a CRM or donor database
● Strong attention to detail and a commitment to data accuracy and integrity.
● Experience creating data reports and using metrics to inform strategy.
● Proficiency in Microsoft Excel and comfort working with spreadsheets, data exports, and mail merges.
● Ability to manage sensitive donor information with discretion and in compliance with data privacy policies.
● Strong organizational skills and ability to manage multiple projects and deadlines.
● Effective written and verbal communication skills.

● Demonstrated ability to work both independently and as part of a team.
Preferred:
● 3+ years of experience with EveryAction CRM
● Experience working in a nonprofit development, advancement, or communications team.
● Strong analytical and problem solving skills.
● Familiarity with online action tools, email marketing systems, or digital engagement platforms.
● Basic understanding of fundraising and donor stewardship best practices.
● Experience training others on database systems or tools.
● Project management experience or comfort managing vendors/contractors.
● Knowledge of digital analytics tools (e.g., Google Analytics, email engagement reports) is a plus.

Duties & Responsibilities

Responsibilities:
Database Management (EveryAction):
● Manage all aspects of our EveryAction database, including data entry, maintenance, list creation, forms, reporting, and email layout.
● Ensure data accuracy and hygiene—regularly update records, manage donor info, and clean data.
● Track and analyze supporter and donor data to inform fundraising and communications strategies.
● Create and maintain lists to meet deadlines for email and direct mail campaigns.
● Generate reports that provide insight into our supporters and their engagement.
● Stay current on EveryAction features and best practices; train staff as needed.
● Manage database security, user access, and lead related projects and process improvements.
● Support accurate tracking of event attendee data and communications.
Communications Support:
● Collaborate with the Communications Team to track email performance and suggest improvements.
● Create and manage online action forms and ensure proper webpage integration.
● Assist with segmented email creation and updates to templates and best practices.
Donation Processing:
● Support the donor acknowledgement process with timely letters, receipts, and invoices.
● Maintain accurate donation records and assist with reconciliation and financial tracking.
Contractor & Hiring Support:
● Recommend and manage contractors for database-related projects, tracking progress and deadlines.
● Occasionally participate in staff hiring committees.

Salary & Benefits

$65,000-70,000 annually
