SUMMARY: The Executive Assistant provides high-level administrative support to the Tribal Chairman/Gaming Authority President. This role manages all clerical, operational, and coordination functions of the Executive Office, including scheduling, communications, meeting preparation, reporting, and travel. The position ensures the efficient, professional operation of the Executive Office.
EDUCATION AND EXPERIENCE: • Bachelor’s degree preferred. • Minimum of 3 years of Executive Level administrative experience or an equivalent combination of education and experience in an executive office environment. • Highly proficient with Microsoft Office software and general office technology; operates multi-line phone systems and office equipment efficiently.

PHYSICAL ABILITIES: • Ability to sit or stand for extended periods while performing office and administrative tasks. • Manual dexterity to operate computers, multi-line phone systems, and standard office equipment efficiently. • Ability to lift and carry office supplies, files, or equipment up to 20 pounds as needed. • Sufficient mobility to move throughout the office and attend meetings or work sessions in various locations.
ADDITIONAL REQUIREMENTS: • Must pass a comprehensive background check and drug screening • Must maintain a Valid driver’s license, reliable transportation, and insurability for the duration of employment.
ESSENTIAL DUTIES AND RESPONSIBILITIES: Administrative Operations & Office Management • Ensure continuity and efficient operation of government functions within the Executive Office. • Organize and maintain confidential files, correspondence, and records. • Oversee office supplies, equipment maintenance, and general administrative processes. • Coordinate travel arrangements and reimbursement procedures for the Chairman/President. • Attend conferences, trainings, and meetings as required, including national travel for engagement with the congressional delegation, legal counsel, lobbyists, and other key stakeholders. • Represent the Executive Office at major events and professional gatherings as needed, ensuring effective advocacy and a professional presence on behalf of the Tribe. Scheduling & Communication • Manage the Chairman/President’s calendar, schedule appointments, and coordinate meetings with internal stakeholders and high-ranking officials at all government levels. • Answer and screen telephone calls; arrange conference calls and virtual meetings. • Oversee incoming and outgoing correspondence (mail, email, fax), ensuring proper routing and follow-up. • Compose, edit, and prepare routine correspondence and documents on behalf of the Chairman/President. Governance & Council Support • Assist with communications between the Executive Office, Tribal Council, and Gaming Authority. • Attend meetings and work sessions, take notes, and prepare follow-up documentation. • Prepare and submit supplemental funding requests and oversight reports to the Tribal Council and Gaming Authority Board. • Support administrative functions in relation to budget preparation, reporting, and compliance tracking. Team & Public Relations • Collaborate with executive staff to prepare and disseminate press releases and official communications. • Support coordination of staff training logistics, meetings, and materials. • Support executive team meetings and assist with materials and logistics for meetings, training, and work sessions. Other Duties • Perform additional responsibilities as assigned to support the Executive Office’s mission.
