Summary: Provides mid-and-high-level support to the Chief Executive Officer and Administration. Support may range from basic administrative functions to the collection, organization and analysis of information the CEO requires to oversee planning and operations for the Bishop Paiute Tribe. Additionally, this position will be instrumental in executive management’s efforts to collect and review policies and procedures, work with consultants on an organizational assessment, and serve as a liaison to human resources and other departments as the tribe initiates new workflow and performance management systems.
Education & Experience: ➢ Must possess a valid Driver License. ➢ Associate’s degree in business, public administration, or related field is strongly preferred. ➢ Bachelor’s degree: plus, three (3) years of Executive Level administrative experience, or equivalent combination of education and experience in an executive office setting preferred. ➢ A minimum of four (4) years of experience in an executive assistant or comparable role is required; additional experience is highly preferred. ➢ Must be proficient in Microsoft Office Suite (Word, Excel, Outlook, Teams) or similar programs ➢ Experience using workflow/performance/project management software programs, including AI desired.
Ability to work in an environment that is often fast-paced, high pressure and bound to tight deadlines. Ability to handle multiple tasks and produce quality results. ➢ Strong organizational skills. ➢ Strong communications and interpersonal skills – high EQ. Other Requirements: • Must have the highest integrity and adhere to confidentiality and business ethics in all matters. • Ability to work irregular hours, as needed. • Ability to inform and communicate orally and in writing in diverse and challenging situations. • Travel may be required for training, meetings, conferences, presentations, and other events. • Must have the ability and cultural event recognition to work with people from diverse cultures, ethnic and socio-economic backgrounds and possess a basic knowledge of Native American communities and always maintain cultural sensitivity, including but not limited to appropriate greetings in Paiute language, ceremonial and cultural event recognition, etc. • Must acknowledge and comply with the Bishop Paiute Tribe’s organizational policies and laws. • Must pass a criminal background check. • Must have and maintain a valid California Driver's license and be insurable under the Tribe’s existing automobile insurance policy.
Essential Duties: • Customer-oriented in delivering excellent service to both internal and external customers in a friendly, courteous, and professional manner. • Supervise supports staff in service of the Chief Operations Officers (COOs) and to meet the day-to-day needs of the Administration. • Compiles database of tribal real assets including properties, leases, rentals, easements, pastures, motor pools and coordinates management of same. • Works independently to carry out assignments from the CEO in a timely manner. • Handles communication, including emails and phone calls, and represents the CEO in various interactions • Gatekeeping to filter requests and manage incoming inquiries. Assists with special projects and initiatives. The Executive Assistant may conduct research, prepare reports, and help implement strategies that support the CEO’s objectives. • Receives correspondence and prioritizes issues in need of an executive response. • Acts as a single-point-of-contact between the CEO and outside entities as well as internal departments, programs, projects and others in the tribe. • Handles sensitive information with discretion and confidentiality in the retention and dissemination of privileged information. • Supports the CEO with Administrative functions; timesheets, travel, leave approvals, purchase orders, expense reports, credit card reconciliations and others. • Assists in preparation of reports, proposals and other documents the CEO produces on a monthly, quarterly and annual basis. • Manage projects assigned to the Executive Management Team (EMT) and serve as a member of the team, taking the lead in organizing agendas and information on topics that come before the EMT. • Attends and participates in staff meetings and all mandatory training and events. • Maintains good communication with employees and a positive and professional work environment. • Contributes team effort and accomplishes related results as required. • Lead or support Administration projects as needed, balancing multiple priorities. • Commits to continued professional development to acquire, hone, maintain, and/or advance the knowledge and skills needed for optimal job performance. • Other duties as assigned.
