Advance Native Political Leadership Action Fund is looking for a National Program Associate to join our growing team. The National Program Associate will provide administrative and operations support of the Native Leadership Institute and growing national and state-based networks of elected and appointed leaders. The successful candidate will have strong communication skills, keeping the team connected and informed, strong attention to detail to balance multiple priorities and deliverables, and the ability to work collaboratively across programs and initiatives for Advance.
- Skills & Qualifications
To be successful in this role you should have the following experience
- Two-year College Degree or equivalent 2+ years of experience in a related field including in an administrative support, research, or programmatic role.
- Experience developing and maintaining organized, comprehensive, and detailed research in google sheets;
- Attention to detail is a must – this isn’t just a line, this is critical to success in the role.
- Demonstrated ability to organize personal task lists, maintain thorough notes and action items, manage your time, self-establish deadlines and communicate resources needed effectively.
- Excellent written and verbal communication skills, both in professional communications and communicating research findings.
- Demonstrated ability to achieve results; self-starter who thinks strategically, proactively and creatively.
- Demonstrated willingness to be a team player with experience working in fast-paced, evolving environments that require lots of collaboration, transparency, and an all hands on deck approach.
- Ability to juggle multiple projects and cross-department work simultaneously.

- Duties & Responsibilities
Administrative Support (50%)
- Support Native Leadership Institute in-person, virtual, and hybrid events through analyzing local hotels, restaurants, activities, and supporting vendors, sourcing quotes, managing vendor communication, and packaging recommendations in service of the Advance team and partner organizations;
- Support the expense collection, management, and submission process by developing appropriate systems, collecting relevant receipts, and tracking expenses for the department;
- Lead outreach and follow up to speakers and vendors for payment information (invoices, w9s, ACH forms, signed contracts);
- Lead outreach and follow up for guest speakers during NLI events, panel discussions, graduation keynotes, and online webinars, where needed;
- Support travel coordination and booking for internal program team, trainers, participants, and partners;
- Monitor public-facing email inboxes and route to appropriate staff member(s);
- Draft, propose, and maintain program policy and procedure documents, including the program operations manual and Native Leadership Institute policies;
- Manage Salesforce and EveryAction data for the department, ensuring updates, notes, and contact records stay up-to-date for both strategic partnerships and Native Leadership Institute program applicants and participants;
- Maintain and grow library of resources for online resource hub in support of Native Leadership Institute training programs;
- Provide editing support, manage revisions, reference checks, fact checking, and updates in service of training workbook, research reports, presentations, and other public facing materials;
- Provide notetaking for organizational gatherings, retreats, and planning meetings, in addition to select partner and participant conversations;
- Provide project management support, in coordination with the National Program Director, for department-wide and Native Leadership Institute initiatives and goals.
Strategic Recruitment (20%)
- Manage outreach, follow up, and scheduling of participant interviews for NLI interview team and partners;
- Lead participant communication in the build up to major department events and training, including acceptance letters and outreach, important logistical information, evaluations, collecting biographies and headshots for class profiles, and other items as they arise;
- Support office research for alumni 1:1s as needed;
- Manage youth engagement program: researching partners, developing pitch decks and resources, and leading outreach to youth groups and Tribal colleges and universities to build an applicant pool for pilot Campaign Staff program under the Native Leadership Institute;
- Lead nomination project, soliciting partners and networks for program applicants;
- Maintain a list of recruitment and referral partnerships, developing necessary outreach materials and maintaining active communication in coordination with the National Program Director.
Supporting Strategic Partnerships & Initiatives (20%)
- Provide outreach, scheduling support, and state tour planning for target strategic partnerships, under direction of National Program Director;
- Administer Bounceback Fund, a post-election engagement for endorsed candidates who have lost their races, under direction of Research & Data Manager
- Manage post-election outreach to pool of candidates running for office, connecting to appropriate resources and programs.
Other duties as assigned (10%)
- Salary & Benefits
This position is salaried within a range of $65,000 - $75,000 and comes with a generous package of comprehensive benefits. Including but not limited to:
