Part-Time Program Assistant (20-25 hours/week)
Position Summary: We are seeking a highly organized and tech-savvy part-time Program Assistant to provide crucial support for INDIGENOUS LED's remote team. The ideal candidate will have 3-5+ years of experience in project management, event coordination and/or administrative work, with strong skills in digital collaboration and time management. Experience supporting operations and fundraising efforts is a definite plus. The role requires excellent communication abilities, adaptability, and proficiency in managing multiple priorities effectively. The successful applicant will excel in project management, program coordination, and meeting and event planning while supporting deliverables, tracking progress, and maintaining smooth internal and external workflows. A demonstrated ability to maintain confidentiality and work effectively in a diverse, fast-paced, mission-driven environment is essential. The Program Assistant will play an important role in supporting the organization's mission to elevate Indigenous leadership in the face of mounting environmental and cultural crises. The ideal candidate will bring experience working with Indigenous communities and a passion for social change & biocultural conservation. Primary will be the ability to support INDIGENOUS LED’s leadership and overall team to advance core programmatic areas including buffalo rematriation efforts, braided science initiatives, strategic communications & storytelling, policy and advocacy work, and youth engagement programs. Qualifications: Experience ● 3-5+ years in project management, event coordination and/or executive support roles. Experience in development or fundraising work is a plus. ● Exceptional organizational skills with a systems-oriented mindset ● High proficiency in remote collaboration tools (Slack, Google Workspace, Teams, Zoom), project management tools and spreadsheets. ● Experience working with Indigenous communities Skills and Personal Characteristics ● Excellent communication skills and a collaborative spirit ● Strong time management, with ability to coordinate multiple priorities efficiently ● Analytical problem-solving skills, focused on practical solutions ● Adaptability and resilience in navigating complex, evolving environments ● Cultural humility, high emotional intelligence and a commitment to ongoing learning and growth ● Passionate about environmental conservation and cultural revitalization initiatives ● Strong ethical foundation and integrity, maintaining organizational confidentiality
INDIGENOUS LED is a fully remote organization based in the United States. This is a part-time contract role, 20-25 hours per week, with the potential to expand. This position offers an opportunity to support a dynamic, mission-driven organization while working remotely. Candidates who are comfortable with digital collaboration tools, have excellent time management skills in a remote environment and have the availability to work during Mountain Time (MT) business hours are encouraged to apply.
Key Responsibilities: ● Program & Event Coordination (60%) o Track project deliverables and timelines using tools including Airtable and Google Sheets o Reconcile and submit invoices and bills, flagging any delays or discrepancies o Assist in grant requests and reporting, including ensuring all requirements are met on time o Support logistics for hosted events for virtual and occasional in-person gatherings. This may include finding venues, sourcing catering options, coordinating with vendors, as well as materials preparation and attendee coordination o Collaborate with all team members to streamline workflows, troubleshoot issues and find ways to improve processes ● Team Administrative Support (40%) o Support tracking, coordination and reconciliation of expense-related documentation, including reimbursement forms, credit card reports, and honoraria agreements o Coordinate virtual meetings (Zoom/Google Meet), including agenda preparation, invites, and follow-up action items o Draft and proofread communications (emails, presentations, reports) o Maintain digital filing systems and ensure confidential data security o Coordinate travel arrangements and create trip itineraries
$25-$30 hourly
